Position Summary

This position is directly responsible for coordinating needs of OOBE's hospitality department. The Hospitality Specialist will ensure all guests and employees have a positive experience when working or visiting our properties. Ensuring the vision and purpose of OOBE is expressed through keeping our facilities in the best shape possible at all times, appropriately anticipating and responding to the needs of our employees and guests. The Hospitality Specialist will be successful and enthusiastic in the production of events from conception through to completion, providing outstanding customer service, organizing memorable meetings and events that exceed expectations.

Position Responsibilities-Essential

    • Hospitality:
      • Assist in front desk coverage and hospitality; including but not limited to greeting, helping customers and employees, maintain security of the building by enforcing front desk and hospitality procedures.
      • Assist in coordination on executive corporate travel and OOBE visitor/guest travel in accordance to the corporate travel policy.
      • Assist in communication with all outside vendors related to hospitality and travel.
      • Assist in maintaining OOBE storage needs and maintain knowledge of inventory items in storage.
      • Assist in managing office supply inventory to include meeting requirements, hospitality needs and items to maintain safe work environment.
      • Assist in maintaining office aesthetics year round
      • Assist with gifting for employee personal events such as weddings, new babies, etc. and gifts for company partners and vendors.
  • Event Coordination:
    • Coordination, planning, and assistance of events and hosting guests.
    • Coordinate meeting room setup and teardown for events and guests.
    • Proactively handle any arising issues and troubleshoot any emerging problems related to hosting guests.
    • Liaise with partners and guest groups to identify their needs to ensure client satisfaction.
    • Planning and coordination of company meetings and events
    • Conduct pre-and-post-event evaluations and report outcomes.
    • Manage event planning, design and production; delivering all elements within timeframe.
    • Conduct market research, gather information and negotiate contracts prior to closing any meeting room rentals.
    • Communicate internal and external meetings, events and on-site guests to hospitality and company.

Position Responsibilities-Non-Essential/Other

  • Excellent time management, organization and attention to detail.
  • High degree of willingness to serve others and exceed expectations.
  • Proficient in Microsoft Excel, Word, and Power Point and constantly work to improve skills in this area.
  • Ability to effectively communicate with internal and external customers using strong verbal, written and interpersonal skills.
  • Understands OOBE Purpose & Values and is willing to be accountable to them.
  • Assist leading the employee engagement team.
  • Crosstrain in C4 to assist when needed.
  • Other duties as assigned

Essential Skills and Experience

  • 2-3 years of experience coordinating traveling arrangements, event management and inventory management.
  • Prior experience with events a plus.
  • Personable skills and ability to build productive business relationships.
  • Ability to manage multiple projects independently.
  • Successful candidate will possess strong written and oral communications, conflict resolution skills and excellent time management.
  • Capable of multitasking, able to work in a fast-paced environment, be organized and detail oriented.
  • Successfully work in a sometimes-stressful environment.
  • This position will have an expected travel need of 5-15% as needed.
