Job Description

The Office Coordinator is responsible for managing daily administrative functions, maintaining communication with the Holding’s cost center, handling vendor relations, processing invoices, organizing the office environment, and supporting operational efficiency across departments. This role ensures smooth coordination between the Holding subsidiaries and external vendors while maintaining a well-organized and welcoming office environment.

 

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

  • Act as the primary liaison between the Holding and CSC Brazil (Centro de Custos Compartilhados), ensuring the efficient and accurate management of the database.
  • Review, process, and track invoices for accuracy, ensuring timely submission to CSC and the finance department.
  • Assist in gathering and verifying information for budget tracking and departmental expenses.
  • Support department heads with cost-related documentation and reporting.
  • Communicate with vendors to coordinate services, resolve issues, and payments
  • Maintain vendor records in coordination with the procurement department.
  • Provide administrative support to department managers and leadership as needed.
  • Coordinate and manage HR and compliance with regulatory bodies' requirements across all locations.
  • Schedule and coordinate office use, meetings, and internal demands.
  • Open and close the office daily, ensuring security and readiness.
  • Receive and distribute all incoming correspondence, including mail and deliveries.
  • Other related tasks can be assigned.
